Optical Brightener Samples: A Seven-Part Evaluation Record

A sample evaluation is useful only when its identity, conditions and decision can be traced. Use this record structure with your technical team; it is not a replacement for a grade-specific test procedure or SDS.

Record the question before opening the sample

Define whether the trial is intended to identify a first candidate, compare with an existing material or investigate a purchasing alternative. Write the reference and the desired outcome in terms the technical team can evaluate. This prevents an attractive visual result from being accepted without regard to the original requirement. Establish document review and safe handling under your own laboratory procedures before any practical work.

Connect identity, documents and conditions

Record the supplier label, sample or batch identifier, physical form and technical-document revision. Describe the substrate and the process conditions selected by the responsible technical team. If a condition changes during evaluation, record the change rather than silently combining the results. This record is also the starting point for a useful supplier discussion if a later sample behaves differently.

Keep observations separate from acceptance

Save the observations, photographs or measurement outputs with the method used. Decide acceptance against the criteria defined before the trial, not against a new criterion selected after seeing the result. Where a result is uncertain, document the uncertainty and the next review needed. Avoid describing a sample as universally compatible or superior when the evaluation covered only one substrate and one process context.

Use the seven-part record in the purchasing handoff

The seven parts are objective, reference, sample identity, technical documents, substrate and conditions, observations, and decision with next action. Purchasing needs the final accepted grade and agreed specification as well as the model name. Keep a distinction between a laboratory candidate, a technically accepted material and a commercially confirmed order. Those are different stages, and a sample request does not by itself confirm price, availability or delivery.
